People Operations & Workplace Experience Specialist

ABOUT AIRWALLEX

Airwallex is the AI-native financial operating system for a real-time, intelligent economy. More than 675,000 businesses, including McLaren Racing, Qantas, SHEIN, and TikTok, use us, directly or through our platform partners, to run their financial operations or build and monetize financial products of their own.

We started in Melbourne in 2015 to build the infrastructure global commerce runs on. We're the regulated backbone behind global payments: not by accident, but by design. A decade plus, 85+ licenses, and a financial infrastructure spanning North America, Europe, the Middle East, and Asia-Pacific.

We're co-headquartered in San Francisco and Singapore, with more than 2,700 people across 27 offices. We hire builders with founder-level energy, people who move fast with good judgment, dig in with real curiosity, and make calls from first principles rather than waiting to be told what to do. HOW YOU'LL MAKE IMPACT

You’ll keep core People Operations running smoothly for Airwallex’s EMEA team while helping build a strong, engaging in-office culture in Berlin. You’ll own high-volume, detail-oriented workflows across the employee lifecycle, HR operations and workplace experience, while improving and automating processes as we scale.

• Own onboarding and offboarding end to end, creating a smooth employee experience for the EMEA team.
• Serve as the primary point of contact for HR inquiries, managing the ticketing system with timely, high-quality responses.
• Maintain accurate HRIS and payroll data, including EOR data, audits and employee changes, while supporting payroll processes and resolving discrepancies in variable compensation inputs.
• Administer benefits programmes, support rollouts and help ensure compliance with relevant regulations across the markets you support.
• Oversee day-to-day office operations in Berlin, including supplies, vendors, access, equipment and general upkeep. Act as a front-of-house presence by greeting visitors, managing deliveries and coordinating with building management.
• Support employee engagement initiatives, including events, monthly celebrations and quarterly offsites, while helping build a strong in-office culture as the office grows.
• Identify inefficiencies in manual workflows and drive process documentation, improvements, automation and AI adoption. Gather employee feedback through surveys, onboarding check-ins and day-to-day interactions, then translate it into action.

You’ll work from our Berlin office four days a week.

WHAT WE'RE LOOKING FOR

Essentials

• Foundational generalist experience in People Operations or HR in a high-growth, fast-paced environment.
• A passion for culture and team building, with the energy to bring people together and act as a culture champion in a growing organisation.
• Strong working knowledge of local HR practices, particularly benefits and compliance.
• A hands-on, detail-oriented approach, with confidence owning admin-heavy workflows.
• Experience supporting payroll processes, including variable compensation such as commissions and bonuses.
• Confidence managing ambiguity and building processes from scratch.

Preferred

• Proficiency with a startup tech stack, including Slack, Zoom, Lattice, Atlassian tools such as Jira and Confluence, and Google Workspace.
• Familiarity with HRIS, EOR, or payroll platforms such as BambooHR and Deel.
• Exposure to workplace experience or office operations in a hybrid environment.

YOU'LL THRIVE HERE IF

• You own the outcome and you don't wait for permission to fix what's broken.
• You like defining your own space rather than staying in one narrow lane.
• You're comfortable making decisions with incomplete information and moving quickly anyway.
• You hold yourself to a high standard even when no one is watching. Quality and accountability aren't external expectations, they're internal ones.
• You connect dots across functions and hold the big picture without losing grip on the details.

LEARN MORE ABOUT YOUR TEAM

People and Talent is where the people infrastructure of a genuinely global company gets built. Our company is growing fast across multiple regions, hiring in highly competitive markets, while many of the systems and programs themselves are still being designed. That means the job is not to run established processes well — it is to define what great looks like for a global fintech at this stage of growth, and then build it.

This is a team for the ambitious who want the resources and scope of a scaled business combined with the creative latitude of one still being shaped. If you want to influence how a truly global company hires, grows, and builds a talent dense organization, this is where people work becomes company-building work.
