Your Role

As our Office Manager, you will take full ownership of the workplace experience at Focused Energy. You will make sure our office runs smoothly, feels welcoming, and supports our growing team every day.

From managing office supplies and welcoming guests to preparing workshop logistics, coordinating onsite events, and supporting all-hands meetings, you will be the person who brings structure, energy, and care to our workplace. You will also design and improve the processes that make office information easy to find and everyday requests easy to resolve.

This is a highly visible, hands-on role for someone who enjoys creating order and connecting people. Because the role is centred on the onsite workplace experience, regular full-time presence in the office is required, making a meaningful difference to how a team works together onsite.

What You’ll Do

Own the day-to-day operation and organisation of our Darmstadt office.
Create, document, and continuously improve clear, consistent, and scalable office processes and workflows.
Manage office consumables, supplies, equipment, and vendor relationships to ensure everything is available when needed.
Coordinate guest management and help create a professional, welcoming experience for visitors, candidates, and partners.

Plan and coordinate onsite events, team gatherings, and social activities.

Support the preparation and smooth running of all-hands meetings and other company-wide moments.

Keep office information organised and easy to access, reducing repetitive questions and ad hoc requests.

Act as a central point of contact for office-related topics and coordinate effectively with colleagues across the company.

Partner with the team to maintain a workplace that is functional, welcoming, and a great place to work.

Identify opportunities to improve the employee experience and take ownership from idea through implementation.

Professional experience in office management, workplace operations, administration, hospitality, event coordination, or a similar hands-on role.
Fluent German and English, both written and spoken.
Exceptional organisational skills and a highly structured, reliable approach to work.
Excellent communication skills and the ability to build positive relationships across different teams and seniority levels.
A proactive, practical mindset: you notice what needs to be done in the office and take ownership of making it happen.
Strong attention to detail without losing sight of the bigger picture.
The ability to manage multiple priorities, stay calm under pressure, and follow through on commitments.
Confidence working independently in a growing company where processes are still being built and improved.
A genuine interest in creating a positive, connected, and well-organised onsite workplace.

Innovative Technology & Mission: Be part of a cutting-edge company working on groundbreaking research in clean energy and scientific discovery.
Career Development: We invest in our people. This is an opportunity to join an early, growing company at the forefront of new technology, where you’ll have the opportunity to develop and grow your career.
Collaborative Culture: Work with great people in a dynamic, international environment with top-tier scientists, engineers, and professionals passionate about solving global challenges.
Ownership: Take ownership from day 1 and drive impact by making decisions, solving challenges, and shaping the future of our company.
Your Success is our Success: We offer a competitive salary and company ownership in the form of stock options, giving you a direct stake in our success and ownership in what we build together.
Vacation Days: We support your work-life balance by granting you 30 days of vacation per year.
Flexibility: Work should fit around your life, not the other way around. We offer the ability to work from our office, but some flexibility to work from home as well.
Snacks and Drinks: Our office fridges are never empty. Enjoy our healthy snacks and drinks. Our Darmstadt office even offers a canteen with delicious lunch options daily.
Retirement Plan: If you decide on a private pension plan, we will finance 20% on top of your monthly contributions, plus loyalty incentives.
